MARKETING AND OPERATIONS MANAGER – Event Planning & Design

TITLE: Marketing and Operations Manager

LOCATION: Main Office – Alexandria, VA & Arlington, VA
[this position has some work-from-home opportunities and also involves in-person appointments throughout the D.C. area as well as domestic & international travel 3-8 times per year]

SCHEDULE: Full-time, Salary, 30-50 hours per week
[this position requires some weekend, evening, and holiday availability during peak season]

SUPERVISOR: Owner & Creative Director

COMPENSATION: Base salary range - 50,000-60,000 per year, in addition to:
  • Up to 5,000 per year in Social Media milestone bonuses
  • Estimated 1,000-3,000 in bonus/commission for additional services
  • Approximately 500-2,000 per year in client-provided tips
  • Revenue and efficiency-based bonuses and scheduled salary increases

REQUIREMENTS:
  •  Full-time availability during regular business hours
  •  Availability on most evenings, weekends, and holidays
  •  Reliable vehicle (with a valid driver’s license and insurance), laptop, cell phone, and a quiet at-home work space including Wi-Fi
  •  Ability to lift heavy boxes, climb stairs, carry multiple items back and forth, and stay on your feet for 10-14 hour shifts without extra accommodations
  •  Valid U.S. passport or ability to obtain a valid U.S. passport and be able to travel without restriction



WHAT WILL I BE DOING?

Client-Based Services
  • Manage client details and assemble into thorough distribution packets to leadership and vendors
  • Review vendor-provided paperwork to ensure accuracy and cross-reference with team needs
  • Source, order, assemble, and invoice for event detail items and accessories
  • Communicate with vendors and check availability, pricing for clients; provide detailed reports
  • Attendance at tasting, sample appointments, walkthrough; provide post-appointment recaps and follow-through with client and vendors
  • Troubleshoot various projects as needed for unique clients and events
  • Full ownership of “Additional Services” duties such as: Welcome Bag Design & Assembly, Attire Styling Services, Shoulder Event Floral Services, Vendor Payment Tracking, Pre-Wedding Stationery Assembly & RSVP Management, Shoulder Event Coordination

Office & Administrative
  • General inbox management including thorough and detailed communication with clients and vendors
  • Book travel accommodations and assemble itinerary for team members and leadership
  • Seek opportunities to bring down costs while keeping high value on quality and time efficiency
  • Attendance at some in-person networking events

Social Media & Website
  • Collaboration with leadership on social media planning, metrics, and trends
  • Original content creation including capturing behind-the-scene footage at events and appointments
  • Posting of blogs on Wordpress.com with event photos, light copy, and vendor credits
  • Regular metrics and report meetings to track performance

Event Days
  • Attendance at approximately 25-35 weekend events per year at 10-12 hour shifts
  • Execute planning team tasks and support leadership with overall event management
  • Supervise and communicate with vendors to ensure details are processed properly and timely
  • Delegate and support team of Event Day Assistants, ensure timeliness, accuracy, and efficiency



QUALIFICATIONS:

Education / Job History
  • • Relevant Bachelor’s degree or equivalent training and first-hand experience
  • • One year client-facing role in a high-pressure, service-forward environment
  • • Either work or education-based experience seeing a project through from start to finish

Required Skills (hard)
  • Regular use of Instagram Reels and TikTok including original content creation
  • Regular use of Pinterest including board organization and pin uploading
  • Gmail or Google Workspace, including writing of and receiving detailed and critical emails

Required Skills (soft)
  • Sense of urgency and ownership to see tasks through to their deadlines and know ahead when items are falling behind
  • Problem-solver with a resourceful and innovative knack, able to see big picture and the details critical to reaching goals
  • Exceptional time management skills and ability to triage tasks and prioritize deadlines
  • Ability to maintain poise, charm, and professionalism under pressure and in new environments
  • Passionately flexible with the unexpected, dynamic, and ever-changing nature of a small business

Preferred Skills (hard)
  • Proficiency in Monday.com, Asana, or similar PMS
  • Quickbooks Online or other bookkeeping software
  • Wordpress.com backend blogging
  • Showit backend website building
  • SEO optimization and web traffic metrics
  • Instagram, TikTok, and Pinterest metrics and insights, including report-generating and metric-tracking
  • Adobe Creative Cloud
  • Professional experience in catering, weddings, events, sales, marketing, social media, administrative assistance, hotels, hospitality, or fashion.

Preferred Skills (soft)
  • Experience with luxury services, luxury products, high net-worth or high-profile individuals in either a work or personal capacity
  • Experience with travel, timelines, itineraries, or events in either a work or personal capacity
  • Experience with time management, budgeting, ROI, or forecast in either a work or personal capacity
